Job Description

Adams & Martin Group is seeking a Legal Assistant to join a law firm in Saint Paul. This is a direct hire opportunity with a hybrid work model (3 days in office/2 day remote) after 90 days of employment.

The Legal Assistant's responsibilities include:

* Communicate with clients and external parties, building and maintaining professional relationships via phone, email, and in person
* Maintain and regularly update case management, relationship management, document management, and other essential internal systems
* Monitor, retrieve, and distribute emails and voicemails, ensuring all communications are properly documented in the Firm's paper and/or electronic files
* Liaise with courts and administrative agencies regarding hearings, motions, and appearances, serving as the Firm's primary administrative and scheduling contact
* Draft, prepare, and transmit legal correspondence at the direction of attorneys; finalize attorney-drafted documents for submission to courts, clients, co-counsel, and opposing counsel
* Ensure attorneys are fully prepared for meetings and court appearances by organizing and providing all necessary materials
* Review and process verification request responses received from Minnesota counties
* Collaborate with assessors to determine and track the status of Medical Assistance applications
* Create Medical Assistance renewal task lists and enter time and billing information accurately
* Open, organize, and manage new client and Firm files; properly close files upon case completion
* Scan, upload, save, and file all client-provided documents (digital uploads, in-person drop-offs, and mailed items), including maintaining physical files
* Prepare for client reviews by drafting, printing, and scanning meeting materials
* Lead client signing meetings, including document preparation and printing, meeting facilitation, responding to client questions, processing executed documents, and maintaining proper records
* Handle mailings of original deeds, Financial Advisor documentation, affidavits, and other materials requiring printing, processing, and mailing
* Update procedures, templates, and related materials as changes occur, and assist with training new team members when applicable
* Perform additional administrative duties as assigned, including greeting clients, managing mail, supporting meetings, and handling client drop-offs

Qualifications:

* A high school diploma is required; post-secondary education or advanced training is preferred
* Prior experience in a legal environment is expected, along with comfort in legal research, writing, and understanding applicable laws and regulations
* Previous Legal Assistant experience is strongly preferred
